Your team

This flexible role is responsible for assisting the Chief Governance, Legal, Culture and Corporate Affairs Officer and supporting a small team of supportive and unique individuals whose collective roles reach across all parts of the Hollard Group. This team provides the business with high level legal, culture, diversity, board, governance and corporate affairs support and operates in an environment of total confidentiality.

Flexibility to working longer hours may be required at times.

In addition, you will join Hollard’s EA network, meeting regularly to exchange information and ideas.

This role will suit you best if you’re structured, efficient and used to a fast paced and dynamic environment where no two days are the same. You’ll need to be able to keep up with a very busy executive and enjoy juggling multiple balls in the air with a can-do attitude and a smile. You’re a down to earth high-achiever who doesn’t ‘do drama or gossip’ and takes the work seriously but not yourself.

Your duties & responsibilities

  • Extensive diary management, including booking external and internal meetings and providing/following up on all required paperwork prior to and after the meeting.
  • Extensive email management, including but not limited to, organise, draft responses and action items.
  • Proactively managing and prioritising Work In Progress task report.
  • Research, analysis and writing of confidential correspondence, reports and other documents.
  • Create and edit PowerPoint presentations, Word documents and Excel spreadsheets.
  • Coordinate meetings: book/set up rooms, order/deliver catering, issue information and/or invitations.
  • Provide administration assistance/support to direct reports including taking minutes in meetings, proof reading, organising catering etc.
  • Meet and greet visitors for the Chief Governance, Legal, Culture and Corporate Affairs Officer.
  • Expense reimbursements and expense management.
  • Ownership of projects, company initiatives.
  • Maintain electronic files systems.
  • Assist with compiling Board Reports and support of Board Meeting preparation (papers, set-up, catering, functions etc).
  • Organise and/or assist with staff functions when required.
  • Filing and archiving of corporate documents.
  • Maintain the security of confidential information and documents.
  • Organise and book travel for the Chief Governance, Legal, Culture and Corporate Affairs Officer and Direct Reports.
  • Other duties as required.

Your knowledge, skills & attributes

Knowledge acquired awareness and/or expertise

  • Advanced Microsoft suite skills including Outlook and Microsoft Teams
  • Adobe Acrobat.
  • Proofreading abilities.
  • Minute taking.

Skills acquired or inherent abilities

  • Experience as a C-Suite Executive Assistant in email and diary management.
  • Strong time management, prioritisation and multi-tasking capabilities.
  • Strong sense of structure and process.
  • Excellent attention to detail.
  • Strong research ability, use of initiative and willingness to give 100%.
  • Demonstrated critical and creative thinking, and problem solving.
  • Excellent verbal and written communication ability.
  • Sound negotiation ability.
  • Easy going with excellent stakeholder management ability – ability to positively influence all team members regardless of seniority.

Qualifications (Formal study undertaken and completed)

  • Open - relevant qualifications an advantage – however, all applicants encouraged to apply.
