The role

We are looking to engage a highly motivated and proactive individual to step into the role of Secretary Council & Committees. The Secretary Council & Committees will support the delivery of effective and efficient secretarial services to Council’s stakeholders. This position is offered in a permanent full-time capacity, based on 35 hours per week, and location is flexible across our offices.

The role is responsible for:

  • Provide accurate and timely secretarial support for Council meetings in order to ensure that decision making, resolutions and minutes are captured appropriately and in accordance with the Local Government Act
  • Attend all Council meetings and provide timely finalisation of Minutes and prepare them for approval and assist in accurate and timely agenda creation
  • Liaise with the community and staff regarding Council meeting agendas and the outcome of items considered by Council and provide advice on meeting procedures
  • Ensure staff involved in preparing Info Council reports are trained and aware of the schedule and approval framework
  • Provide support in scheduling Councillor inductions and training
  • Ensure that Council’s record keeping requirements of Business Papers and Minutes comply with the State Records Act
  • Support Governance team to deliver services and back up in periods of leave
  • Manage the information portal for the Mayor and Councillors
  • Manage notification, workflow and updates of Council resolutions
  • Effectively administer Info Council as the subject matter expert (SME) and liaison for problem solving
  • Promote information sharing and knowledge transfer to drive evidence-based decision-making, enhance capability and optimise capacity

About you

You will have:

  • Certificate IV qualification or above, in Business Administration, Secretarial studies or a related discipline with minimum 2 years demonstrated contemporary experience in a similar role; or substantial contemporary experience in a similar role to support contemporary knowledge
  • Demonstrated experience in the use of Microsoft Office Suite with advanced Word and Outlook
  • Minimum typing speed of 70 words per minute with 98% accuracy
  • Demonstrated experience in proof reading documents prior to distribution
  • Demonstrated experience in taking detailed minutes at committee level meetings
  • Strong attention to detail and organisational skills including the ability to set priorities and work to tight deadlines under pressure
  • Proven ability to problem solve
  • Proven ability to maintain confidentiality at all times
