Our large NSW State Government client provides a diverse range of essential services to reduce criminal activity and enhance protection of the community.

About the Role
They are currently seeking multiple Executive Support Officers to join their team in Sydney CBD. This is an estimated 6-week temporary assignment, with a potential to extend.

Working within the Corporate, Strategy and Executive Services Division you will be required to provide a wide range of executive and administrative support services to the Executive Director and their respective divisional teams to achieve organisational goals

In this rewarding role, you will be undertaking the following duties:

  • Act as first point of contact on behalf of the Executive Director
  • Screen and triage incoming calls, answer inquiries in an accurate and timely manner
  • Complete diary management
  • Scheduling and coordinating meetings including setting up, catering, equipment and overall presentation
  • Prepare high level documentation including requests for advice, briefs, meeting minutes, agenda’s, correspondence, reports and presentation material
  • Gather and collate information to assist in informed decision-making outcomes
  • Logistical support including travel, accommodation and fleet management
  • Manage, sort and distribute incoming and outgoing mail
  • Manage and maintain office equipment and stationery
  • Manage and process invoices, petty cash and other financial administrative duties
  • Work collaboratively with a wide range of stakeholders to facilitate engagement and contribution of ideas
  • Records and database management ensuring high integrity, accuracy and confidentiality
  • Contribute to development and implementation of innovative improvement strategies to mitigate risk
  • Ensure compliance with Departmental policies and procedures

About you
To be successful in this great assignment you will have the following:

  • Demonstrated Executive Assistant experience providing support at Executive Director level
  • Program / Project Coordination experience highly desirable
  • Previous experience working within a complex/sensitive environment
  • NSW Public Sectors experience highly advantageous
  • Impeccable communication skills, both verbal and written
  • Superior organisational skills with the ability to multi-task and prioritise conflicting deadlines
  • Takes initiative, with the ability to work independently
  • High attention to detail
  • Strong computer literacy skills and proficiency with TRIM and MS office Suite
  • Willingness to undergo a National Police Check
  • Ability to commence and commit to the duration of the assignment
